Visitors to our website 

When you visit the Pro5 website we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the Pro5’s website. The way we collect this information does not allow us to identify visitors and we do not make any attempt to find out the identities of those visiting our website. 

We also use Google Analytics to help analyse use of our website. This analytical tool uses 'cookies', which are text files placed on your computer, to collect standard internet log information and visitor behaviour information in an anonymous form. The information generated by the cookie about your use of the website (including your IP address) is transmitted to Google. This information is then used to evaluate visitors’ use of the website and to compile statistical reports on website activity for Pro5. This information may also be shared amongst the Pro5 Group member buying organisations (CBC, ESPO, NEPO, WMS and YPO).

Pro5 will not allow any personally identifiable information of visitors to our site to be tracked by the statistical analytics tool and we will not allow any third party to use data in this way. No data gathered from the site will be associated with any personally identifying information from any source as part of our use of the Google statistical analytics tools. Google will not associate your IP address with any other data held by Google. An IP address will not be linked with the identity of the computer user by either Pro5 or Google. 

If we do want to collect personally identifiable information through our website, we will be upfront about this. We will make it clear when we collect personal information and will explain what we intend to do with it. 

Other websites

The Pro5 website contains links to and from websites of other organisations. This privacy policy applies only to the Pro5 website. 

Following a link to another website

When you go to another website, read the privacy policy on that website if you want to know what the website does with your information. Pro5 doesn’t pass on any of your personal information to other websites.

People who use Pro5’s services

Pro5 offers various services. For example, we may send publications and distribute an electronic newsletter. We may use a third party to deal with some publication requests, but they are only allowed to use the information to send out the publications. We may also use your information in order to inform you of marketing and events information. 

We have to hold the details of the people who have requested the service in order to provide it. However, we only use these details to provide the service the person has requested and for other closely related purposes. For example, we might use information about people who have requested a publication to carry out a survey to find out if they are happy with the level of service they received. 

People who make a complaint to us

When we receive a complaint from an individual or organisation we will use the information provided by the complainant to handle the complaint and may use the information to make up a file containing the details of the complaint. This would normally contain the identity of the complainant and any other individuals involved in the complaint. 

We will only use the personal information we collect to process the complaint and to check on the level of service we provide. We may publish statistics showing information like the number of complaints we receive; this would not be in a form which identifies anyone.

We usually have to disclose the complainant’s identity to whoever the complaint is about. If a complainant doesn’t want information identifying him or her to be disclosed, we will try to respect that. However, it may not be possible to handle a complaint on an anonymous basis. 

People who make a Freedom of Information (FOI) request 

When we receive a FOI from an individual or organisation we will use the information provided by the requestor to handle the FOI and may use the information to make up a file containing the details of the request. The file would normally contain the identity of the person making the request and any other individual involved. 

We will only use the personal information we collect to process the request. We may publish statistics showing information like the number of requests we receive; this would not be in a form which identifies anyone.
